Set up maintenance schedules

For help setting up Maintenance schedules using the Maintenance menu option

You can configure Orchestrate to schedule and manage maintenance tasks on your resources. This article covers how to enable maintenance, set up schedules, add tasks, and create regularly repeating tasks.

Initial configuration

  1. Open the Orchestrate System Manager application and log in with administrator credentials.

  2. Go to File, then click System Settings.

  3. Select the Planning tab.

  4. Click the 'On' option for Enable Maintenance.

  5. Log off and back into Orchestrate. The Maintenance menu option will now be visible.


Setting up the options

📌 Note: All of the following is done in the Maintenance menu option.

🤓 Tip: Add a schedule to Orchestrate before maintenance can be used.

Follow these steps to set up the options.

  1. Click Maintenance Schedules ….

  2. Click New Row, then click Edit. Enter a code and description for the schedule.

Next, Maintenance Groups are set up. These will be used when setting up the tasks. Some are predefined, but more can be added.
To add another, follow this step below:

  • Click Maintenance Groups …, then Edit, then New Row.

Adding resources to the groups is the next step:

  • Click Maintenance Resource Allocation …, then Edit, to add each resource to a maintenance group.


Adding a task

Follow these steps to add a maintenance task.

  1. Click Maintenance Tasks ….

  2. Click New Row.

  3. Choose the 'Schedule' that this will be a part of from the drop-down.

  4. Give the task a 'JobCode' and 'Description' and, at the end, the resource groups (apart from Labour) will be displayed, and a Resource for each can be chosen, giving multiple resources if required.

  5. The Expected Start Date/Deadline Date/Start Date can be set.

Click Add to Plan to add the task to the plan at the correct time.


Create a regularly repeating task

Follow these steps to create a regularly repeating task.

  1. Right-click on the task and choose Duplicate Selected Tasks …

  2. Choose Offset Date/Time.

  3. Set the No. of Copies and the Offset which can be used to change the time to be every 'Hour', 'Day', 'Week', 'Month', 'Quarter' or 'Year' or any quantity of these, such as every 2 weeks or every 4 months or every quarter.

🤓 Tip: To view the schedule as a resource, go to View, then click Show All Resources. This includes the new schedules along with all others that may have been hidden.
