Works orders do not appear or are completed or wiped from the plan after a data import

I cannot see three works orders in the order planner or task planner, after a data import.

Some tasks are greyed out and completed after the data import, when they should a status of not ready or started..
​
Some tasks are archived after a data import
​
Some works orders are cleared from the Gantt Chart but still show on the order planner.


The offending works orders can show as completed in Orchestrate for numerous reasons. For example:

  • They were completed works orders returned to pending on FactoryMaster (FM), after already been imported into Orchestrate.

  • The Actuals completed entries can override the status of the operations in FM.

  • Please check all works orders created in FM contain operations.

  • The works orders need deleting from the plan before they can be imported again. Please complete the following steps:-
    ​

  1. Select Actuals

  2. View actuals

  3. Type relevant works order and click search

  4. Click view details to ascertain which task needs deleting

  5. Select relevant task and click delete selected

  6. Select planning

  7. Archived tasks

  8. Enter works order and click search

  9. Highlight all rows and click edit

  10. Click delete row(s)

  11. Select orders

  12. Works orders

  13. Enter relevant works order number and click search

  14. Click edit

  15. Click delete row(s)

  16. Click OK

Note: if you do not use actuals, skip steps 1 to 5

  • Another cause for works orders to show has completed or not display on the plan after a data import (specifically from FactoryMaster), is that the resource code the operations are to be planned on are excluded from the schedule. They must be included in the schedule. For example, The part MAPART1 is added to product group PROD1. It was not included in the schedule so I actioned the following steps:

  1. Select Stock

  2. Stocked Parts Menu

  3. stocked part maintenance

  4. Hit enter and select relevant part

  5. Select detail tab

  6. product group

  7. Zoom into the product group by pressing F5

  8. press Crtl + M to modify

  9. change Include to Schedule to yes.

  • If importing from ASC and sales orders is linked to multiple works orders, when you set the sales order to unreleased and back to released in ASC, the works orders automatically complete and archive. It isn't enough just to remove the archived tasks, but you will also need to make the order Released again and not completed. If the order is marked as Complete, then when tasks are imported, they will get archived straight away as the order is completed. Launch the Works Orders form, search for the relevant works orders and make sure all of those have the status of Released and then run the import again.

  • If you are using an ERP system e.g. SAGE, please ask Sage support to check the connection between the SAGE system and staging database is stable and, specifically, what time does the works order data exit Sage and enter the staging database. The works order may be locked out.

If new Works Orders are missing after the data import, but other users can see them, please upgrade to Orchestrate version 7.76 hotfix 30 or 7.77 or above. The enhancement makes sure that the import can't run if someone is saving the plan. Also, the plan can't be saved if the import is running.
